Privacy policy
Last updated: 17 October 2026
This policy explains how Vinyl Dispatch collects and uses personal information when you visit our website, buy from us (on our site or through a shopping service such as Google, Facebook, Instagram or TikTok), or contact us. Vinyl Dispatch is an independent business based in the United Kingdom, and is responsible (the "data controller") for your information. Contact us at hello@vinyldispatch.com.
Information we collect
- Order information: your name, email address, shipping address, phone number (if you give one), what you bought and what you paid.
- Payment information: payments are processed by Stripe. We receive confirmation of payment and limited card details (such as the card type and last four digits). We never see or store your full card number.
- Messages you send us, for example about an order or a return.
- Email preferences: whether you've signed up for news and offers.
- Device and usage information: such as pages viewed, searches, items added to your basket, device and browser type, approximate location (from your IP address) and how you found our site. This is collected by cookies and similar technologies; see Cookies & tracking.
How we use it
- To take and deliver your order, including payment, shipping, tracking, returns, refunds and customer service.
- To send you emails about your order (confirmation, shipping and tracking). These are part of your purchase, so you'll receive them even if you don't sign up for marketing.
- To send news and offers by email, only if you've asked for them. Every marketing email has an unsubscribe link, and you can opt out at any time.
- To understand and improve our website, for example which pages are useful and where things go wrong (analytics).
- To advertise our records on other websites and apps, such as Google, YouTube, Facebook, Instagram and TikTok, and to measure whether those adverts work.
- To prevent fraud and keep our shop and customers secure.
- To meet legal obligations, such as keeping tax and accounting records.
Who we share it with
We only share what each party needs, and we never sell your information for money.
- Our fulfilment partners, who pack and ship orders: your name and shipping address (and phone number, if needed for delivery).
- Delivery carriers, such as USPS or Royal Mail: your name and shipping address, to deliver your parcel.
- Stripe, our payment provider, to take payment and prevent fraud.
- Service providers that run our website, database and email on our behalf (such as Cloudflare, Supabase and Resend), under contracts that only let them use your information to provide their service to us.
- Analytics and advertising partners: Google (Google Analytics, Google Ads and Google Merchant Center), Meta (Facebook and Instagram) and TikTok. They receive device and usage information from cookies and pixels on our site, and, if you buy something, details of the purchase (such as order value and items) so they can measure our adverts. These companies also use this information under their own privacy policies.
- Shopping platforms: if you buy through a platform such as Google, Facebook, Instagram or TikTok, that platform shares your order details with us so we can fulfil it, and its own privacy policy also applies.
- Authorities, if the law requires it, and a buyer of our business if the business is ever sold.
Cookies, pixels and tracking
We use cookies and similar technologies (such as the Google tag, Meta Pixel and TikTok Pixel) for the purposes above. Cookies the site needs to work are always on. Analytics and advertising cookies are only used as described on our Cookies & tracking page, which also explains how to change your choices.
How long we keep it
- Order and payment records: for as long as tax and accounting law requires (usually 6 years in the UK and up to 7 years in the US), then deleted.
- Messages: up to 2 years after we last hear from you.
- Email marketing: until you unsubscribe (we then keep your address on a "do not email" list so we don't contact you again).
- Analytics and advertising data: kept by Google, Meta and TikTok in line with their own retention settings (for Google Analytics, no longer than 14 months).
International transfers
We're based in the UK, and some of our providers (including Stripe, Google, Meta, TikTok and our hosting providers) process information in other countries, including the United States. Where UK law applies, we rely on recognised safeguards for these transfers, such as the UK International Data Transfer Addendum, standard contractual clauses or the UK–US data bridge.
Your rights
Wherever you live, you can ask us to:
- tell you what information we hold about you and give you a copy;
- correct information that's wrong;
- delete your information (except what we must keep by law);
- stop sending you marketing emails;
- stop using your information for targeted advertising.
Email hello@vinyldispatch.com and we'll respond within one month (UK) or 45 days (US). We won't treat you differently for using your rights.
UK customers
Under UK data protection law, we use your information because it's needed to carry out our contract with you (your order), to meet legal obligations (tax records), with your consent (marketing emails, and analytics and advertising cookies), or for our legitimate interests (running and securing our shop, and customer service). You can also object to or restrict our use of your information, and withdraw consent at any time. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
US customers
Some US state laws (including California's) treat sharing information with advertising partners for targeted advertising as a "sale" or "sharing" of personal information, even when no money changes hands. We don't sell personal information for money. To opt out of targeted advertising and "sharing", email us, or turn on Global Privacy Control in your browser and we'll treat it as an opt-out. You can also use an authorised agent to make a request. We may need to confirm your identity before acting on a request.
Children
Our shop is not aimed at children under 16, and we don't knowingly collect their information.
Changes to this policy
We'll update this page if we change how we use your information, and change the date at the top. If a change is significant, we'll tell customers by email.
